Easily schedule meetings at times that work for everyone, get meeting reminders, and share calendars. With Google Calendar, multiple people can post events on a single calendar that everyone can access and edit accordingly. Google Calendar has inbuilt SMS notifications that work across all ISPS.

Access Calendar

1. Open Chrome browser on your computer

2. Select the Google apps icon or simply type in the URL calendar.google.com

However, it is also as easy to access your Calendar on your mobile device or tablet. All you have to do is download the app and sign in with your organization or school account. You will find everything already synchronized to your device and you can pick up from where you left off.


Creating Events

Google Calendar provides you with a way to create a myriad of events and meetings. From client meetings, staff standups and review meetings, work sessions, etc. All you need to do is go to Google Calendar, click Create> Event and proceed to fill in the event details. Add the event title, select the date and time, add guests, add the location, and any attachments and a description of the event with information that the guests may need to know. Afterward, click Save.

Guest Permissions

You can choose what your guests can do with the invitations they receive. You can allow them to see the guest list, invite others, or modify the event.

Rooms

You can book the rooms in your organization depending on the availability and number of attendees.

Location

If your meeting/event is to be held in an external venue, you can add the location by searching and selecting the exact area.

Calendars Lists

When using Google Calendar, you have access to two calendars lists; my calendars and other calendars. My calendars contains your main calendar, birthdays, reminders, tasks, and other calendars that have been shared with you. On the other hand, Other Calendars contains any other calendars that you may wish to add. You can unselect any calendars whose events you do not wish to view.

Event Types

Focus Time

You can block out time to do personal work on your calendar. You can set the focus time to recur at various days and at a particular time. To set up focus time, click Create > Focus Time, and select the time and recurrence. You can choose to automatically decline any invitations of meetings occuring during your focus time.

Out Of Office (OOO)

When you are out of the office for vacation or any leave type, you can set up an OOO to inform people you are not available. You can even add a message explaining why the meetings have been declined. When setting up OOO, you can set a custom recurrence for the duration that applies to the OOO. During this time, you can choose to automatically decline new meetings only or new and existing meetings that you had been invited to.

Working location

Are you working in a different location next week, next month, or the next three months? You can inform other members of your organizations or external members by setting up your working location. You can select the duration you'll be working in the new location.

Tasks

Imagine your line manager walks to your desk and requests for a report that was assigned to you three weeks ago but you completely forgot about it! You can avoid the risk of losing your jo by adding tasks to your calendar. You can even set the deadline and recurrent reminders to remind you to complete it in time

Appointment Scheduling

You do not need any web or mobile appointment setting apps when you have Google Calendar. You can easily set up appointment schedules for various occasions and depending on the duration to be allocated. With the appointment schedule, you can select the general availability, whether it is recurrent or a one-time thing, the scheduling window, and the color of the appointment slots for distinction.

Additionally, you can add a description, the information on the booking form, location and conferencing, and the confirmations and reminders.

Time zone settings

If you regularly have meetings with clients in a different time zone, you can add their timezone as a secondary time zone for easier adaptation of meeting invites. To do this, go to Settings menu > Settings > Time Zone, select Display secondary time zone, and the new time zone. You can even add labels to differentiate them.

Sharing Calendars

You can share your calendars with certain people in your organization and give them different permissions. Just go to Settings menu > Settings > Settings for my calendars > Share with specific people > Add people. Add the members you want to share the calendar with and select the permissions you want them to have then click Send to notify them you have shared the calendar with them.
